TITLE: Executive Secretary
REPORTING TO: Director, Administration, Finance & Human Resources
LOCATION: New Delhi, India
ASSIGNMENT LENGTH: Indefinite - Annually renewable
JOB DESCRIPTION:.
The incumbent should at least be a graduate with a minimum of 7 years of experience with a national or international NGO in an administrative role. S/he should have initiative, drive, follow-through capacity and interpersonal skills. S/he should have excellent written and oral communication skills, ability to handle front office functions, proficiency in computer operations and should be able to work harmoniously in an international and multi-cultural environment.
RESPONSIBILITIES:
1. Provide secretarial and administrative support to the Head of Administration and Human Resources and the Regional Director, on a daily basis.
2. Conduct literature searches on the internet and from other sources
3. Handle work related to power point presentations, excel sheets, typing and drafting letters and other routine correspondence.
4. Arrange travel and hotel bookings for executives.
5. Handle phone calls, visitors, inward/outward couriers and all front office functions of an international organization.
6. Provide logistics and administrative support in arranging, organizing in-house and off-site meetings and conferences.
7. Maintain filing and retrieval system.
8. Handle upkeep of publications
9. Provide any other support related to management processes, as and when needed.
QUALIFICATIONS:
1. Graduate degree with high percentile from a reputed university
2. Minimum 7 years of work experience.
3. Flexible, detail-oriented, organized, adaptable to changing priorities and ability to take initiative and to meet strict deadlines
4. Excellent interpersonal skills and experience establishing and maintaining good relationships with a wide variety of professionals and organizations.
5. Ability to work on multiple tasks at the same time, with minimal supervision
