Location: New Delhi

Futures Group Europe is a specialist consultancy providing support to public health and international development, including in relation to sexual and reproductive health and rights, HIV and AIDS and broader health systems strengthening. We are looking for an outstanding Administrative Assistant based in New Delhi to provide effective and efficient administrative support to Futures Group’s recently awarded project on Reproductive and Child Health funded by the European Union (EU).

The purpose of the Administrative Assistance role is support the Financial and Administrative Programme Manager to manage the office and all procedures and tasks therein, as well as one-off tasks assigned by the Team Leader.


Office Administration

  • Assisting and contributing to office coordination
  • Maintain office calendar to coordinate work flow and meetings
  • Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing documents
  • Maintain an electronic as well as a manual filing system for documents, records and reports
  • Schedule appointments for staff
  • Set up and coordinate meetings 
  • Compile and distribute minutes of meetings
  • Make travel and logistics arrangements for staff
  • Answering telephones and transferring calls to the appropriate staff member
  • Open, sort and distribute incoming correspondence, including faxes and email
  • Collect and maintain inventory of office equipment and supplies

General Responsibilities

  • Liaise effectively  with partners, team members, staff and other stakeholders
  • Anything else required in support of the success and smooth running of the office
  • Other duties as assigned by the Team Leader


Qualifications and Experience:

  • Minimum of a Bachelor’s degree
  • At least three (3) years experience in general office responsibilities and procedures

Knowledge, Skills and Abilities:

  • Excellent verbal and written communication skills
  • Computer literate with knowledge of MS Word, Excel, PowerPoint, Email
  • Ability to organise work effectively and multi-task
  • Ability to work quickly, flexibly, effectively and positively in response to requests made at short notice Knowledge of principles and practices of organisation, planning, records management 

and general administration

  • Knowledge of principles and practices of office management and able to pay attention to detail
  • Ability to operate standard office equipment, including but not limited to, computers, 
  • telephone systems, typewriters, calculators, copiers and facsimile machines
  • Ability to work as part of a team
  • Ability to follow oral and written instructions
