Administration and IT Manager

Background

Within the 4C Association producers, trade & industry and civil society from around the world work together for more sustainability in the entire coffee sector. This global community has joined forces to continuously improve the social, environmental and economic conditions for the people making their living with coffee.

The 4C Association is managed by a secretariat of fifteen persons. The 4C Secretariat is located in Bonn, Germany, with regional offices in coffee producing regions. We are looking for a dynamic and efficient Administration & IT Manager (f/m) with a sound IT-background responsible for steering and coordination of administration, finances and information/ communication technologies of the 4C Secretariat. She/he reports to the Director Operations.


Tasks

Information/Communication Technologies:
• Steering of comprehensive software projects with external service providers
• Standardizing administrative processes and workflows; implementing them in the existing software environments, including
o Administrative und IT/TC integration of regional offices
o Internal first level IT-support
o Basic server administration

Administration/Finances:
• Continued setting-up, maintaining and fine-tuning of the 4C Association’s administrative framework
• Financial planning, accountancy
• Support and preparation of budgeting, budget controlling
• Preparation of quarterly financial reports
• Payroll & holiday management
• Administration of legal compliance
• Human resources management including financial and contract management
• Correspondence with relevant business partners and members


Knowledge and Experience

• Bachelor/Masters in Business Administration with a strong IT-know how, OR Bachelor/Masters in Commercial Information Technology / Information Management with a sound experience in finances/accounting, OR equivalent education
• Sound general knowledge of IT/TC, proved by working experience and resume/references, knowledge of server administration in different OS
• Knowledge of balance sheet accounting
• At least five years of working experience in the fields of administration, finances and information management, ideally in an international setting.
• Prior experience and knowledge of sustainability issues and/or coffee is an advantage.
• Excellent command of spoken and written English. Knowledge of Spanish, French and/or Portuguese or German would be an additional asset.
• Ability to plan, develop and implement strategies and processes. Analytical, problem-solving skills and results-oriented working approach
• Insourcing/outsourcing of technical support; steering of freelancers and supporting companies
• Positive thinking and good teamwork spirit
• Acting as internal service provider within an international team

Location

• Based at the 4C Secretariat in Bonn, Germany

Time frame

• Starting July/August 2010
• Duration: Two years with possible extension
